The strongest pattern is lead time: meetings held within 2 days of booking took place 85.4% of the time, against 58.5% for meetings more than 30 days out.

Every one of the 1,380 meetings ended in one of four outcomes. 69.6% took place. The rest were no-shows, reschedules or cancellations.
No-shows and reschedules together account for 25.6% of meetings: the share that did not happen at the planned time. Of the meetings that took place, 92.9% were with prospects who matched the client's target and 7.1% were later judged off-target.
Lead time is the number of days between the day the meeting was booked and the meeting day. It is known for 1,264 of the 1,380 meetings.
The share of meetings that took place falls at every step, from 85.4% within 2 days to 58.5% after 30 days. No-shows rise from 8.3% to 21.4%.

The median gap between booking and meeting is 11.5 days. Only 32.0% of meetings are scheduled within 7 days of booking, and 62.1% within 14 days. That leaves 37.9% of meetings more than two weeks out, where the share that took place drops to 60.3% or lower.
Yes. We checked lead time inside each year separately, because outcomes were logged differently in 2025 and 2026 (see Method and limitations). In 2025, meetings within 2 days of booking took place 80% of the time, against 59% at 15 to 30 days. In 2026 the figures were 89% and 61%.
Weekday is the day of the meeting. 1,273 meetings fell on a working day from Monday to Friday.
Wednesday had the highest share of meetings that took place (76.2%) and was the best day in both 2025 and 2026. Friday had the lowest share overall (63.5%) and the highest no-show rate (22.2%), but Friday was not the weakest day in 2026, so treat the Friday result as less stable.

Seniority comes from the prospect's job title. 1,302 meetings had a title we could classify. Titles at VP level were left out because there were only four.
The share of meetings that took place is close across groups, from 69.1% to 70.5% for the three main groups. The difference is in how meetings fail: C-level prospects had a no-show rate of 18.9%, against 13.9% for heads and directors and 13.7% for managers, and fewer of their meetings were rescheduled (8.3%).

The split between no-shows and reschedules changed from one year to the next. The share of meetings that took place is unaffected by how the other two outcomes were labeled.

In 2025 the no-show rate was 24.0% and the reschedule rate 3.9%. In 2026 the no-show rate was 3.1% and the reschedule rate 19.9%. In 2026 many no-shows were logged as reschedules. For that reason the reliable headline metric is the share of meetings that took place, and no-shows plus reschedules together measure the meetings that did not happen as planned: 27.9% in 2025 and 23.0% in 2026.
Six practical steps that follow from the numbers above. They apply to any team that books B2B sales meetings, in-house or through an appointment setting agency.
Offer slots in the next few working days. Meetings within 2 days of booking took place 85.4% of the time and meetings within 3 to 7 days 77.6%. After 15 days the share falls to 60.3% or lower.
When the only slot is weeks away, plan a check-in before the date. More than 30 days out, 21.4% of meetings ended in a no-show and 34.6% did not happen as planned.
Monday (74.8%) and Wednesday (76.2%) had the highest share of meetings that took place. Thursday (65.6%) and Friday (63.5%) had the lowest.
CEOs, founders and owners had a no-show rate of 18.9%, the highest of the three main groups. Send a short confirmation before every C-level meeting.

Across the 1,380 meetings in Growth Cab's study, 14.6% ended in a no-show and 11.0% were rescheduled. Because many 2026 no-shows were logged as reschedules, the safer figure is the combined 25.6% that did not happen at the planned time. No-shows ranged from 8.3% within 2 days of booking to 21.4% after 30 days.
Growth Cab's dataset logs the outcome of each meeting without a stated reason, so the answer comes from patterns. No-shows were most common for meetings booked more than 30 days ahead (21.4%), for Friday meetings (22.2%) and for C-level prospects (18.9%). Cancellations, 4.7% of meetings, most likely followed an internal no-go on the prospect's side.
As close to the booking as the prospect allows. In Growth Cab's data, meetings within 2 days of booking took place 85.4% of the time, within 3 to 7 days 77.6%, within 8 to 14 days 70.1% and at 15 to 30 days 60.3%. The median gap was 11.5 days, and only 32% of meetings were scheduled within a week.
Wednesday. In Growth Cab's study, 76.2% of Wednesday meetings took place, followed by Monday at 74.8%, Tuesday at 69.8%, Thursday at 65.6% and Friday at 63.5%. Wednesday was the best day in both 2025 and 2026. Friday was the weakest day overall, and less stable from year to year.
