Appointment Setting
Appointment setting is the work of booking sales meetings between a qualified prospect and the person who will sell to them. In B2B, appointment setting covers finding the right decision makers, starting the conversation, checking that each prospect fits and putting the meeting in the seller's calendar with notes on the buyer.
How B2B appointment setting works
An appointment setter, in-house or at an appointment setting agency, does the prospecting that account executives have no time for. The work follows a fixed order:
- Agree on the target accounts and the decision makers inside each one.
- Find one reason for each buyer to talk now, built around a problem they already have.
- Reach the buyer by phone, email or LinkedIn, and answer every reply, objections included.
- Qualify before booking: the right company, the right person, a stated reason to meet.
- Book a time in the seller's calendar, close to the conversation.
- Send the seller a short brief and confirm the meeting with the buyer.
When the fit is wrong, no meeting gets booked. A calendar full of people who will never buy costs the closer more than an empty one.
What makes an appointment qualified
Write the definition down before outreach starts, and check every booking against it.
| Check | Question it answers |
|---|---|
| Account | Is the company on the approved target list? |
| Buyer | Does this person decide, or own the problem you solve? |
| Reason | Did the buyer state why they want to talk? |
| Timing | Is the meeting soon enough that it will likely happen? |
| Notes | Does the seller know who is coming and why? |
How many booked appointments actually happen
A booked meeting is not a held meeting. In the Growth Cab show rate study of 1,380 B2B sales meetings booked by cold calling for 25 clients, from September 2024 to September 2026, 69.6% took place, 14.6% were no-shows, 11.0% were rescheduled and 4.7% were cancelled by the prospect. The median gap from booking to meeting was 11.5 days, and only 32% were scheduled within a week of booking.
Show rate = Meetings held ÷ Meetings booked × 100As an illustration, if a setter books 40 meetings in a month and 28 take place, the show rate is 70%.Track show rate next to meetings booked every month. Our meeting show rate calculator compares your numbers with the study.
Confirm each meeting with a short reminder that restates why the buyer agreed to talk. A buyer who remembers the reason is far less likely to treat the slot as optional.
Appointment setting vs lead generation
Lead generation produces contacts, or people who showed some interest, such as a download or a reply. Appointment setting goes one step further and books a live meeting between a qualified buyer and your team. If you buy appointment setting, you are paying for meetings, so the written definition of qualified is the contract that matters.
Appointment setting fits best when you sell large B2B deals to buyers you can name, and your closers spend too much of their week prospecting. It fits poorly when the offer has not sold yet, because more meetings will not fix an offer buyers do not want, or when nobody on your side can take the meetings within days.
