Cold Email

Definition

Cold email is a first, unrequested email sent to a business contact who has no earlier relationship with the sender, usually to start a sales conversation. A good B2B cold email is written for one person: it names a fact about their company, links it to a likely problem and asks for one small next step.

What is cold email used for in B2B sales?

Cold email is one of the main channels of outbound sales, next to the phone and LinkedIn. Teams use it to open conversations with target accounts, to follow up after a cold call, to reach partners and to test a new market before hiring a sales team there.

Cold email is not the same as spam. The difference is who receives it and why. A cold email goes to a person who fits a defined customer profile, says something true and relevant about their business, comes from a real sender and makes it easy to opt out. Spam goes to everyone with the same words.

The four parts of a good cold email

Every line should depend on the person reading it. Here is an example built for an invented company, Brightline, and its head of sales:

Cold email rules every sender must follow

A cold email only works if it reaches the inbox. Mailbox providers and the law both set rules.

  • Google and Yahoo bulk sender rules (since February 2024): senders of 5,000+ messages a day to Gmail must authenticate with SPF, DKIM and DMARC, offer one-click unsubscribe and keep the spam complaint rate under 0.3% (Google's email sender guidelines).
  • In the US, the CAN-SPAM Act covers business email too: honest sender details and subject lines, a postal address and a working opt-out that you honor.
  • Send from separate domains set up for outreach, so the domain your company runs on is never at risk.
  • Verify every address before it enters a sequence. Bounces damage the sender's reputation.

Our cold email deliverability checklist covers the setup step by step. Rules in the EU, the UK and Canada differ, so check local law before you email there.

How to measure a cold email campaign

Open rates are unreliable because privacy features and security scanners trigger false opens. Count what people do: replies, positive replies and meetings held.

FormulaPositive reply rate = Interested replies ÷ Emails delivered × 100As an illustration, if 400 delivered emails produce 10 interested replies, the positive reply rate is 2.5%.

Watch bounces and spam complaints next to replies. When replies drop across every campaign at once, the cause is usually deliverability, not the copy.

Then follow those replies to the end: how many became meetings, how many meetings took place and how many turned into opportunities. Before launch, the free cold email grader and domain check on our free tools page catch the most common mistakes.

Cold Email FAQ

Is cold email legal?
In the US, B2B cold email is legal if it follows the CAN-SPAM Act: honest headers and subject lines, a postal address and an opt-out you honor. The law makes no exception for business-to-business email. The EU, the UK and Canada have stricter rules, so check local law first.
How long should a cold email be?
Short enough to read on a phone in one go: one fact, one problem, one offer and one ask. Long cold emails usually come from not knowing why you are writing to this person. If you can explain the reason in one sentence, the email stays short on its own.
How many follow-up emails should you send?
Send a few follow-ups spread over the following weeks, and add something new each time, such as a useful fact or a short teardown. A follow-up that only says you are checking in gives the reader nothing. Make the last one an easy exit, so a clear no saves both sides time.

Outbound SalesOutbound sales is a sales approach in which the seller starts the conversation, contacting potential buyers who have not asked to hear from the company. In B2B, outbound sales teams choose target accounts, find the decision makers, reach them by phone, email or LinkedIn, and turn the ones who fit into qualified meetings and pipeline. Email DeliverabilityEmail deliverability is the share of your sent emails that reach the recipient's inbox instead of bouncing or landing in spam. It depends on four things: authenticated sending domains, a verified contact list, a steady daily volume per mailbox, and messages relevant enough that recipients do not report them as spam. Domain ReputationDomain reputation is the trust that mailbox providers such as Gmail and Outlook assign to a sending domain, based on how its past email behaved. It reflects authentication, bounces, spam complaints, sending volume and how recipients engage. A strong domain reputation helps email reach the inbox. A damaged one sends it to spam. DMARCDMARC (Domain-based Message Authentication, Reporting and Conformance) is a DNS record that tells receiving mail servers what to do with email that uses your domain but fails authentication: deliver it, send it to spam or block it. It builds on SPF and DKIM and sends you reports on who is sending email as your domain. Email Bounce RateEmail bounce rate is the percentage of sent emails that are returned as undeliverable instead of reaching a mailbox. A hard bounce means the address does not exist or the domain cannot receive mail. A soft bounce is a temporary failure, such as a full inbox. High bounce rates damage the sender's domain reputation. Data EnrichmentData enrichment is the process of adding missing information to an existing record, such as a lead or an account, from outside sources. In B2B sales, data enrichment fills fields like a verified work email, a direct phone number, job title, company size or a buying signal, so a team can qualify an account and reach the right person.
